Terms of Service

Agreement

These Terms of Service (“Terms”) are a legal agreement between you and PilotDocsAI LLC (“we,” “us,” or “our”) for access to and use of PilotDocs AI (the “Service”). By creating an account, signing in, or otherwise using the Service, you agree to these Terms. If you do not agree, do not use the Service.

Authority

If you use the Service on behalf of a company, flight school, or other organization, you represent that you have authority to bind that organization. If you are signing up as an individual, you represent that you are at least 18 years old or the age of legal majority in your jurisdiction.

The Service

PilotDocs AI is an aviation document search platform. It indexes manuals, publications, and other documents that you or your organization upload, and returns search results that link directly to relevant pages. The Service is intended as a research and reference tool and does not replace official guidance, regulatory interpretation, or flight training.

Your account

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to provide accurate information and to keep it updated.

Acceptable use

You agree not to:

  • Use the Service for any unlawful purpose or in violation of applicable regulations.
  • Upload, share, or search for content that infringes intellectual property rights.
  • Send spam, phishing messages, or other unwanted communications through the Service.
  • Interfere with the security, availability, or performance of the Service, including by introducing malware, probing vulnerabilities, scraping, or exceeding reasonable usage limits.
  • Reverse engineer, decompile, or attempt to derive source code from the Service.
  • Resell, redistribute, or sublicense access to the Service without authorization.

Intellectual property

PilotDocsAI LLC retains all right, title, and interest in the Service, including software, documentation, designs, branding, and related intellectual property. We grant you a limited, non-exclusive, non-transferable, revocable license to use the Service for your internal aviation-reference purposes in accordance with your selected plan.

User content

You retain ownership of any documents or other materials you upload. By uploading content, you grant us a limited license to host, process, index, and display that content solely to provide the Service to you and your organization.

Payments, subscriptions, and Paddle

Paid plans are billed through our online reseller and Merchant of Record, Paddle.com. Subscriptions renew automatically for the selected billing period unless cancelled before the next renewal date. You can cancel, update payment details, and download invoices through the Paddle billing portal linked from your Settings page.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns. For payment, billing, tax, cancellation, and refund mechanics, please also refer to Paddle's Buyer Terms.

Refunds

We offer a 30-day money-back guarantee. Refund requests are processed by Paddle. Please see our Refund Policy for details.

Suspension and termination

We may suspend or terminate your access if you materially breach these Terms, fail to pay when due, pose a fraud or security risk, or repeatedly or seriously violate our policies. You may cancel your subscription at any time through the billing portal; cancellation takes effect at the end of the current paid period.

Upon termination, your right to use the Service ends. We may retain and delete data in accordance with our Privacy Notice and applicable law.

Service level and warranties

We strive to keep the Service available and accurate, but we do not guarantee that it will be uninterrupted, error-free, or completely secure. The Service is provided “as is” and “as available.” To the fullest extent permitted by law, we disclaim all implied warranties, including merchantability and fitness for a particular purpose.

Limitation of liability

To the fullest extent permitted by law, PilotDocsAI LLC's aggregate liability arising out of or relating to the Service is limited to the amount you paid us in the 12 months preceding the claim. We are not liable for indirect, consequential, special, or punitive damages, including lost profits, data loss, or goodwill, even if advised of the possibility. Nothing in these Terms excludes or limits liability for fraud, death, or personal injury where such exclusion is prohibited by law.

Indemnity

You agree to indemnify and hold harmless PilotDocsAI LLC and its officers, directors, employees, and agents from claims arising out of your content, your unlawful use of the Service, or your breach of these Terms.

Governing law and disputes

These Terms are governed by the laws of the State of Arizona, United States, without regard to its conflict-of-laws principles. Any dispute arising from these Terms or the Service will be brought in the state or federal courts located in Arizona.

Changes to these Terms

We may update these Terms from time to time. We will post the revised version with a new effective date. Continued use of the Service after the changes constitutes acceptance.
